SENIOR ADMINISTATor
Ministry Function: The Sr. Administrator is responsible for providing administrative support to the Executive Director of Ministry (EDOM) and the Sr. Director of Operations (SDOO). Responsibilities would span a broad range of general administration, procurement and project management requiring advanced Microsoft Office skills, especially Excel and PowerPoint.
EDOM General Administrative Duties:
Organize meetings schedule and prepare and publish weekly desk audits in conjunction with the EDOM. Send meeting requests and zoom links to the appropriate parties.
Prepare and publish meeting agendas as directed in conjunction with the EDOM
Attend meetings and record meeting minutes, action plans and deadlines. Publish meeting minutes and action plans to all involved parties.
Update, maintain and publish officer’s rotation schedules in conjunction with the EDOM.
Assist with planning training workshops, retreats and other events as assigned by the EDOM
Provide administrative support to the Ministers on staff, as assigned by the EDOM
Develop dashboards to track key statistics (e.g. attendance, salvations, baptisms, new members, installations and viewership) in the Children, Students, Young Adults and Adult Ministries.
In conjunction with the EDOM, develop PowerPoint presentations for various meetings and initiatives
Organize, track and manage all receipts associated with the SDOM credit card transactions.
Assist EDOM as directed at ministry functions and ministry meetings including but not limited to CELT, Officers Meetings, SPAB Meetings, etc.
SDOO General Administrative Duties:
Organize, track and manage all receipts associated with the SDOO credit card transactions.
As directed by the SDOO, send out mass text and phonetree messages, including securing the correct database and tracking when messages are scheduled for delivery.
In conjunction with the SDOO, develop PowerPoint presentations for various meetings and initiatives.
Manage New Community’s Postal Permits to ensure they are up to date and have available postage in the account.
As directed by the SDOO use raw data from CSV and Excel spreadsheets to manipulate and reformat data as needed for reporting and tracking.
Using Excel, track and provide weekly updates on giving to the SDOO for review, once approved forward to appropriate parties.
Track and report statistics on first time givers, recurring transactions and large donations.
Develop first draft of general business correspondence and memos for the review with the SDOO prior to mailing. Take lead on coordinating mass mailing initiatives.
Assist, as needed, with church wide events. This may include Women’s Ministry, Make Cleveland Better, Missions, Mental Health Awareness, etc.
As directed, provide assistance with following up with messages and phone calls.
Assist SDOO as directed at ministry functions and ministry meetings including but not limited to Kingdom Impact Meetings, Business Meetings, Town Hall Meetings, etc.
Manage and order office supplies as needed ensuring lowest cost possible without paying sales taxes.
Project Management:
In conjunction with the SDOO and/or the EDOM develop project scope, project schedule, project budget and timeline for completion on assigned projects. Projects may include database/software updates roll out, ministry initiatives and special events.
In conjunction with the SDOO and/or the EDOM conduct meetings with project team to execute project tasks and key initiatives. Publish meeting minutes, action plans and due dates to the appropriate parties.
Develop a project plan to monitor and track progress. Provide regular project updates to the SDOO and/or the EDOM.
Report and escalate issues and variances to the project budget or project timeline to the SDOO and/or the EDOM immediately.
Create and maintain comprehensive project documentation for reference for future projects.
Ensure that all projects are delivered on-time, within scope and within budget.
Other Responsibilities / Expectations:
Meet requests for action or information in a timely, tactful, and courteous manner, even when they are outside of the Sr. Administrator’s direct ministry description.
Meet weekly and maintain consistent communication with EDOM and SDOO to establish guidelines, expectations and ministry update.
Qualifications:
Advanced Microsoft Office skills and administrative skills
Bachelor’s Degree in a related field
Project Management experience a plus
Highly organized, efficient and adept at multitasking and prioritizing tasks with a spirit of excellence
Sense of urgency and commitment to meeting deadlines
New Community Bible Fellowship membership
Must exhibit a strong commitment to personal spiritual growth
Must live a personal and private life exemplary of a mature Christian (1 Tim 4:12)
Fully embraces the vision, mission and values of New Community Bible Fellowship

Skills, Knowledge and Abilities:
Must have a submitted, servant and supportive attitude in your overall approach to ministry and your job (Ephesians 6:5-7; Colossians 3:23, 24).
Able to manage the duties from a strong biblical foundation and conviction. Administrative abilities are key. Able to establish and maintain appropriate standards for the accomplishment of ministry in a way that honors both God and people.
Strong interpersonal skills-ability to communicate persuasively and compassionately both orally and in writing.
Must be a team player, promoting unity for the overall direction of the team and the ministry.
Ability to be extremely flexible in an environment that is subject to many spur of the moment changes.
Initiative, perseverance, follow-through and “whatever it takes” attitudes are very important.
Timeliness is a very important value at New Community. Must arrive to work and meetings on time! Must meet request for information or action in a timely, tactful, and courteous manner.
Must have a strong commitment to handling conflict according to the precepts of Scripture.
